Teams channel meetings: stop invitations | Teamsware

⚙️ Teams channel meetings: Stop invitations to all members (for administrators)

Your users schedule a meeting in a Teams channel without inviting anyone – and still every team member receives an invitation and a calendar appointment. This article explains the cause to administrators and shows how to find and permanently clean up affected teams.

Normally, Teams only sends invitations to a channel meeting if the organizer adds attendees manually or turns on the “Send personal invites” toggle. If all members still receive an invitation, the cause almost always lies in the Microsoft 365 group behind the team.

🎯 At a glance

If all members receive unsolicited invitations to Teams channel meetings, this group setting is usually the cause:

  • The Microsoft 365 group behind the team automatically subscribes new members (setting AutoSubscribeNewMembers = True).
  • This mainly affects older groups that started as Outlook groups and were only team-enabled later.
  • Fix: set AutoSubscribeNewMembers to False and clear the existing subscriber list.

Teamsware recommends checking all teams once with the check script. From then on, only the organizer decides who receives an invitation.

💡 Key concept

Every team in Microsoft Teams is based on a Microsoft 365 group. Each group has a subscriber list: anyone on it receives the group’s messages and events by email – including invitations to new channel meetings. This feature comes from Outlook groups, which communicate by email. Teams, by contrast, communicate through channel conversations and normally do not need it.

⚠️ Why does everyone receive an invitation although nobody was invited?

If the toggle is off and no attendees were added, the cause usually lies in the Microsoft 365 group behind the team:

  • The group setting AutoSubscribeNewMembers determines whether new members are automatically added to the subscriber list.
  • For team-enabled groups it is set to False by default – new members are not subscribed.
  • Groups that started as Outlook groups and were only team-enabled later may still be set to True. New members then join the subscriber list and receive invitations to new channel meetings.

This is why several teams are often affected, especially in Microsoft 365 environments that have existed for many years.

🔍 How can you check which teams are affected?

You can use Exchange Online PowerShell to check whether teams in your tenant automatically subscribe new members. The following script changes nothing; it only lists the affected teams.

Technical background – check script

Prerequisites: the Exchange Online PowerShell module and an admin role with read access to Microsoft 365 groups.

Connect-ExchangeOnline
[array]$Groups = Get-UnifiedGroup -ResultSize Unlimited -Filter {ResourceProvisioningOptions -eq "Team"}
If ($Groups) {
[int]$i = 0; [array]$GroupNames = $Null
ForEach ($Group in $Groups) {
If ($Group.AutoSubscribeNewMembers -eq $True) {
Write-Host ("Team {0} autosubscribes new users" -f $Group.displayName)
$i++
$GroupNames += $Group.displayName
}
}
Write-Host ("{0} teams of {1} autosubscribe new users found ({2})." -f $i, $Groups.count, ($GroupNames -join ", "))
}

🛠️ Fix: Turn off automatic subscription

The permanent fix: for the affected teams, AutoSubscribeNewMembers is set to False and the existing subscriber list is cleared. From then on, team members only receive channel meeting invitations if the organizer explicitly chooses so.

⚠️ Important before running

  • The script changes the settings of all teams found by the check script.
  • It removes all subscribers from these groups – including people who deliberately subscribed to group emails.
  • Only run it after consulting your IT and with appropriate admin rights.
  • The script uses the $Groups variable from the check script. Run both scripts one after the other in the same PowerShell session.

Technical background – cleanup script

$Teams = $Groups | Where-Object {$_.AutoSubscribeNewMembers -eq $True}
ForEach ($Group in $Teams) {
Write-Host ("Resetting autosubscription setting for {0}" -f $Group.displayName)
Set-UnifiedGroup -Identity $Group.ExternalDirectoryObjectId -AutoSubscribeNewMembers:$False
[array]$Links = Get-UnifiedGroupLinks -Identity $Group.ExternalDirectoryObjectId -LinkType Subscribers
Remove-UnifiedGroupLinks -Identity $Group.ExternalDirectoryObjectId -LinkType Subscribers -Links $Links -Confirm:$False
}

👤 Individual users instead of whole teams

You don’t always need to clear the entire subscriber list. Users can turn off their subscription themselves in Outlook via “Follow in Inbox” – the step-by-step guide is in the article Teams channel meetings: Stop invitations in your own inbox (for users). If the group is hidden in Outlook (often the case for groups created in Teams), remove individual people from the subscriber list:

Technical background – remove a single subscriber

Replace the placeholders in square brackets with the group and the user.

Connect-ExchangeOnline
Remove-UnifiedGroupLinks -Identity "[group name or email address]" -LinkType Subscribers -Links "[user@company.com]" -Confirm:$False

🔗 Alternative without cleanup

If you don’t want to change the subscriber list, the organizer can create a private meeting and share the meeting link as a post in the channel. This also works in private and shared channels.

🎯 Teamsware recommendation

Check your teams once for automatic group subscription – especially if your Microsoft 365 environment has existed for some time.

  • ✅ Identify affected teams with the check script and document the result.
  • ✅ Before cleaning up, clarify whether individual people deliberately subscribed to group emails.
  • ✅ Set AutoSubscribeNewMembers to False for the affected teams and clear the subscriber list.
  • ✅ Point your users to the step-by-step guide for turning off their own subscription.

💡 Memory aid

Team-enabled group = AutoSubscribeNewMembers set to False. If the value is True, new members join the subscriber list – and receive every new channel meeting as an invitation.
