Why can't I see all SharePoint content in Teams?

Why can't I see everything that's stored on the associated SharePoint page in Microsoft Teams under "Shared"?

Many are familiar with this situation:

Directly on the SharePoint page belonging to a team, there are folders or other content that I don't see in Microsoft Teams – in the channels under "Shared".

This content was often created directly on the SharePoint page that belongs to the team, for example:

  • in the Documents library, but not in a Teams channel folder
  • or in additionally created libraries or lists

This seems irritating at first, because at first glance Microsoft Teams and SharePoint belong closely together. One quickly wonders: 

  • Why are these folders missing from Teams?
  • Where is the content stored?
  • Why don't they appear in the sewer?

However, the reason for this is quite simple:

By default, Microsoft Teams does not display the entire content of a SharePoint page
, but only the content that is clearly assigned to a Teams (topic) channel.

Everything else remains in SharePoint for the time being – regardless of whether you have access to it.

 


Microsoft Teams and SharePoint – who does what?

Microsoft Teams and SharePoint technically belong together, but perform different tasks:

Microsoft Teams

  • is the work and communication interface
  • This is where people write, plan, vote and work together
  • Files are stored contextually in channels via Shared

SharePoint

  • is the central storage in the background
  • files, folders, libraries and lists are stored here in a structured way
  • SharePoint offers more organizational and structural options than Teams

Teams is not a complete view of a SharePoint page, but only displays selected, channel-related content.


What do I see in Teams from the Shared (formerly Files) tab?

Each (topic) channel in a team has:

  • exactly one fixed folder
  • in the SharePoint document library "Documents"
  • this folder has the same name as the channel

So if you:

  • Upload a file directly in the channel via "Shared"
  • or create a folder there

➑️ then this content is  automatically  saved➑️

to the correct channel folder 
and is visible to everyone on the team via Microsoft Teams

This is the default behavior of teams.

 


Why can't I see all the content of the SharePoint page in Teams?

On the associated SharePoint page, you can do much more than directly in Teams, for example:

  • Create folders outside the channel structure in the Documents library
  • Create additional document libraries (e.g. "Archive", "Internal", "Project Old")
  • Create lists (e.g. task lists, overviews, structured information)

This content:

  • are on the same SharePoint page
  • however, they do not automatically belong to a Teams channel
  • and are therefore not displayed in Microsoft Teams

Teams deliberately hides these areas by default so that the channel view remains clear, focused, and work-related.


Standard vs. deliberate expansion in Teams

By default:

  • βœ… ChannelFolders
    and content β†’ automatically visible in Teams via Shared

But:

Additional content from SharePoint can be intentionally integrated into Teams, for example:

  • as a separate tab in a channel
  • or via the
    "Add Document Library" function

 This integration is not an automatic display, but a manual, targeted decision. Without this extension, the content remains in SharePoint – outside of Teams.

  • in the SharePoint document library "Documents"
  • with the same name as the channel

This also explains why content sometimes seems "disappeared" even though it is still present in SharePoint.

  • Teams is not a complete SharePoint view
  • SharePoint can manage more content and structures
  • Teams only shows channel-related content by default
  • Further content will only appear
    after deliberate integration

What I want to see in Teams in the channels, I create or create via Teams - Shared.

In concrete terms, this means:

  • Create or store files & folders in the Teams channel under "Shared"
  • or work in SharePoint specifically in the folder of the respective channel

"I have access in SharePoint – why don't I see that in Teams?"

β†’ Teams only shows channel folders, not all content on the page

"Can you stop that?"

  • Microsoft Teams is the desktop
  • SharePoint is the storage in the background

  • Everything else stays in SharePoint –
