Establishment of a template package in Teamsware

With the Teamsware Project File (Bauakte), projects can be created in a standardized and automated manner. This process is based on Template Packages, which utilize an existing Microsoft Team as a foundation, including its channel structure, folders, and standard apps (Planner, OneNote, group mailbox, etc.).

This guide explains the journey from the initial configuration to the finished Template Package.

1. Starting Point

The prerequisite for setup is a fully configured Microsoft Team that serves as a template. This team should already contain the following elements:

  • The correct channels.
  • The required folder structures.
  • Essential apps (such as Planner, OneNote, or the group mailbox).
  • Any other specific configurations as needed.

2. Sequence for Initial Setup

To ensure a consistent result, the following four steps must be performed strictly in this order:

Step 1: Define Metadata

First, Metadata is defined in the Admin area. These are the building blocks for the subsequent naming convention (e.g., project number, location, project name).

  • Each component is maintained as an individual element.
  • Goal: To create uniform basic building blocks for automated name generation.

Step 2: Create Naming Convention

The Naming Convention is built using the metadata. This determines how projects and the associated SharePoint URLs will be named.

  • Example: PRJ-[ProjectNumber]_[Location]_[ProjectName].
  • Goal: To ensure consistent naming of titles and links.

Step 3: Define Template

Now, the existing Microsoft Team is registered as a Template in the system. At this stage, the connection to the naming convention is established.

  • The system identifies which team should be duplicated.
  • Goal: To define the copy source and link it with the naming rules.

Step 4: Create Template Package

Finally, the templates are combined into a Template Package. A package can consist of one or more templates.

  • After this step, the package is ready for automated project creation.
  • Goal: To provide a ready-to-use comprehensive package for users.

Upon completing this configuration, you will have a ready-to-use Template Package. This allows new projects to be created standardized, consistently named, and fully equipped with all structures and apps at the touch of a button.
