Getting Started with the Teamsware Construction Files Dashboard and Navigation

This article explains the home page of the Teamsware Construction Files interface and its main navigation. You will learn how to find projects quickly, request or create new workspaces, and which functions are visible to administrators.

Prerequisites

  • The Teamsware Construction Files interface is set up and published.
  • You have a user account with at least read permissions.
  • To create new workspaces, you need approver or admin rights.

1) Dashboard Structure (Home)

On the home page, you can see your recently created projects and templates for quick access.

At the top, you will find the main navigation with the following items:

  • Home: Return to the overview of recently used elements.
  • Projects: Management of active workspaces.
  • All: Complete overview of all projects including metadata.
  • Requests: Status of your requested workspaces.
  • Activity: History and status messages regarding workflows.

On the right side, you will also find the blue button "Request/Create Workspace". If you are an admin, the workspace is created immediately; otherwise, a defined approver must first release it.

Administration

The "Administration" button is only visible if you are a member of the administrator group. It enables the central management of:

  • Template packages
  • Metadata
  • Naming conventions

Note: If links to Teams or SharePoint are missing, the template creation process did not complete correctly. In this case, check the template or restart the process.

2) Projects - Managing Active Workspaces

The Projects tab lists all currently active Teams and SharePoint sites clearly. This simplifies navigation compared to the standard Microsoft 365 view.

Use the filter options for a better overview:

  • Current / Active: Shows all ongoing projects.
  • By Template: Sorts projects according to the template packages used.
  • Deactivated / Archived: Shows archived teams (according to lifecycle policy).

3) All – Full Overview

Under the All tab, you will find all projects with all stored metadata. This view is ideal for tracking and quality assurance.

Here you can view important information such as:

  • Project image, designation, and ID.
  • Owner and creation date.
  • Status of SharePoint and Teams links.
  • Visibility and guest access rights.

4) Requests - Approval Process

In this area, you can see all requested workspaces. Even as a non-admin, you can track the status of your own requests here.

  • Current: Shows open requests.
  • Rejected: Shows declined requests.
  • My Own Requests: Filters for your personal requests only.

Important: Only administrators or explicitly named approvers can approve or reject requests.

5) Activity - History & Status Messages

The Activity tab shows the latest actions in the form of a chat history. This is ideal for quickly checking if workflows (e.g., the creation of a template package) have been completed successfully or if teams have been archived.

Best Practice

  • Consistently use the workflow for metadata and naming conventions to ensure clean structures.
  • Regularly monitor Activity to detect faulty template runs early.
  • If necessary, combine several templates to create projects with specific modules or additional SharePoint sites.
